Outdoor Wedding Checklist: Weather, Setup, Logistics & Permits

Outdoor weddings are stunning when they work and disastrous when they don't. The difference is contingency planning. This checklist covers the logistics most couples underestimate: permits, weather backup, power, lighting, restrooms, parking, and the rentals you genuinely need. All prices in AUD unless otherwise marked.

Phase 1

6-9 months before

Confirm venue allows ceremonies + receptions

Essential

Some parks allow ceremonies but not receptions. Some private properties have noise restrictions after 10pm. Get this in writing before booking.

Research permit requirements

Essential

National parks, beaches, and some public reserves require ceremony permits ($50-$500 AUD depending on location). Apply 3-6 months ahead. Some require liability insurance.

Confirm wet-weather backup plan

Essential

Indoor option, covered marquee, second venue on standby. NEVER assume "it won't rain" — Australian weather is unpredictable. Plan B is mandatory.

Choose a season + time wisely

Essential

Spring (Sept-Nov) and autumn (March-May) are most reliable in AU. Avoid summer afternoons (40°C heat is brutal) and winter rain seasons. Aim for 90 minutes before sunset for golden-hour photos.

Book a marquee or covered structure (if applicable)

Important

Even if doing ceremony outdoors, the reception under cover gives weather flexibility. Marquee hire $2K-$8K AUD depending on size.

Phase 2

3-6 months before

Plan power + lighting

Essential

Outdoor venues rarely have enough power. Generator hire ($400-$800), extension cables, festoon lighting, fairy lights for evening. Test the setup at a daylight visit.

Arrange restroom logistics

Essential

Public toilets are not enough for 80+ guests. Premium restroom-trailer hire is $1,500-$3,000 AUD and worth every dollar — guests will thank you.

Plan parking + transport

Important

Outdoor venues often have limited parking. Arrange shuttle from a hotel or parking lot, or partner with a venue 5-10 mins away for guest parking.

Book outdoor-experienced vendors

Important

Photographers + videographers used to outdoor light. Caterers comfortable with onsite cooking. Florists who know wind + heat. Ask for outdoor-wedding portfolios.

Arrange shade + heating

Important

Heat lamps for cool evenings ($60-$150 each, plan one per 8-10 guests). Shade structures for hot afternoons. Hand fans on chairs, sunscreen station, water station.

Phase 3

1-3 months before

Confirm wet-weather plan with vendors

Essential

Every vendor (photographer, caterer, florist, music) needs to know the backup plan. Confirm setup logistics if Plan B activates.

Order or hire seating

Essential

Cross-back chairs $8-$12 AUD per chair, ghost chairs $12-$18, hay bales (rustic) free if local. Confirm delivery + setup time with venue.

Plan for insects + wildlife

Important

Citronella candles or torches, light bug spray station for guests, screened food area for fly control. Outdoor weddings without bug planning regret it.

Book PA system or amplification

Essential

Outdoor ceremonies need amplification — voices carry poorly outside. Lapel mic for celebrant + couple, speaker system with battery power if no mains.

Update guest expectations on attire

Important

Communicate "garden ceremony, lawn surface, comfortable shoes recommended" or "beach ceremony, bare feet welcome". Wedding website is the place.

Phase 4

1-2 weeks before

Watch the weather forecast

Essential

BoM 7-day forecast becomes meaningful around 4 days out. Decision point on Plan B activation usually 24-48 hours before.

Confirm marquee + structure setup time

Essential

Marquees usually take 6-8 hours to setup. Coordinate with venue access times.

Print weather contingency briefing

Important

One-page document for vendors + wedding party explaining Plan B activation criteria + alternate timing.

Pack outdoor essentials kit

Important

Umbrellas (matching, for photos if rainy), sunscreen, bug spray, hand fans, blankets for cool evenings, gum boots if wet ground possible.

Phase 5

Day of

Final weather check

Essential

Coordinator monitors BoM + radar. Plan B activated by 8am if needed for setup logistics.

Vendor setup begins early

Essential

Outdoor setup is slower than indoor. Start 4-6 hours before ceremony, not 2.

Hydration + comfort station

Important

Water + iced drinks + sunscreen accessible to guests during ceremony.

Have indoor refuge ready

Essential

If sudden rain hits, where do guests go? Pre-identified covered area, marquee, or bus.
